The data in RevControl doesn't match my PMS
Discrepancies between data in RevControl and your PMS can arise due to settings within RevControl or issues with data transmission from the PMS.
If you notice differences between the data in RevControl and your PMS, the causes can generally be categorized into two main areas: settings within RevControl and issues related to data transfer from the PMS. Below is a detailed overview of potential causes and corresponding solutions.
1. Settings in RevControl
Settings within RevControl can directly influence occupancy, availability, and revenue data. Review the following components:
-
Settings affecting occupancy/availability:
-
Use Out of Order in available room count: Determine whether rooms marked as “Out of Order” are included in the available room count. This can be toggled on or off (setting can only be changed by RevControl).
-
Use Out of Inventory in available room count: Decide if rooms marked as “Out of Inventory” are counted. This setting can also be toggled (setting can only be changed by RevControl).
-
Allowed segments (or sources): Check whether all segments are included or only specific ones. This can be configured at the system level (setting can only be changed by RevControl).
-
Allowed room types: Verify if all room types are included or just certain ones. This is set at the hotel level (setting can only be changed by RevControl).
-
Import tentative RN/REV: Decide whether tentative or optional reservations are included in occupancy and revenue data. This setting is at the hotel level (setting can only be changed by RevControl).
-
PMS-specific settings:
-
Cloudbeds: Include “based_on_availability” allotments?(setting can only be changed by RevControl)
-
MEWS: Include availability blocks RN/REV?(setting can only be changed by RevControl)
-
SIHOT: Enable blocks?(setting can only be changed by RevControl)
-
StayNTouch: Cancellation/No-show Charge Codes?
-
Protel: Include allotment RN/REV?(setting can only be changed by RevControl)
-
-
-
Settings affecting revenue and categories:
-
Include VAT?: Ensure that VAT is included in revenue calculations(setting can only be changed by RevControl).
-
PMS-specific revenue codes: Verify that the correct categories are set:
-
Bookzo: F&B Cost Code IDs / Tax Cost Code IDs
-
Camping.care: Room/F&B/Taxes & Payments revenue products
-
Cloudbeds: Room/F&B/Other revenue item categories / Taxes & Payments revenue item categories
-
SIHOT: Room/F&B/Tax Revenue Production Areas
-
StayNTouch: Room/F&B Charge Codes / Additional Tax/Payment Charge Codes
-
SiteMinder/SMX: F&B Revenue Codes
-
VIPS CloudPMS: Room/F&B/Taxes & Payments revenue products
-
-
-
Other causes within RevControl:
-
New room types: Ensure that new room types in the PMS are correctly mapped to the appropriate types in RevControl via Settings > Mapping > Room Type Mapping.
-
Report selection: Check which report you’re viewing:
-
BOB report: Updated only at 0:00 AM.
-
Pickup Today report: Updated every 15 minutes (depending on how frequently RevControl receives data from the PMS).
-
-
2. Causes Related to the PMS
Sometimes, the issue lies with the PMS or the data transfer from it to RevControl. Consider the following potential causes:
-
Incorrect filters in the PMS: Ensure that the filters used in the PMS match those in RevControl, such as dates, room types, or segments.
-
Manual corrections in the PMS: Verify that manual changes in the PMS are correctly and timely transmitted to RevControl.
-
Data transfer from the PMS:
-
Reservations or changes: Confirm that all reservations and modifications are properly sent.
-
BOB Import Times: RevControl displays notifications if no data has been received:
-
Blue notification (informational): Until 8:00 AM if no new data has been received.
-
Red notification (warning): After 8:00 AM if data is still missing. This timing can be adjusted via Settings > Configuration > System Settings > BOB Import report times.
